JOB DESCRIPTION

An Executive Assistant, or Executive Administrator, is responsible for managing the schedules and communications of key company executives. Their duties include prioritizing projects, and tasks, coordinating KPIs within team members, emails and phone calls, gathering documents to prepare for meetings, and coordinating travel arrangements. Executive Assistants have more than administrative duties. They also filter and prioritize client visits or phone calls, and communicate on behalf of the executive they support. With a primary responsibility of supporting the CEO, provide support to the executive team as directed to ensure that company goals and objectives are accomplished, and operations run efficiently.

An Executive Assistant will also be in charge of coordinating with Operations, Marketing, and fulfillment to ensure the excutives are set up in a position to win.

WHAT THIS JOB ENTITLES

  • Daily sales coordinator calendar report - Communicating calendar KPIs to marketing/setters daily.
  • Paid Traffic Reporting - Manually pull all paid traffic numbers from all offers
  • Outbound Sales Reporting - Pull outbound numbers from CRM, Call software and submit to EOD forms.
  • Assure salespeople are doing their EOD admin activities every BOD.

  • Organize and schedule meetings and availability including cancellations, rescheduling, sending reminders, and follow-ups.
  • Manage the personal messages and inbox of the CEO, draft and send replies, triage and categorize inbox, & provide reminders for important messages.
  • Prepare travel itineraries, schedule hotels & Airbnb, book flights, and provide suggestions for local attractions or events for the CEO.
  • Complete recurring daily, weekly, or monthly data pulling, data entry, and report sending to provide updates on key information.
  • Drafting legal documents and client emails. Continuously improving and building upon our library of templated communication emails.
  • Creating SOPs (Standard Operating Procedures) and ensuring our staff is compliant with following them.
  • Corporate due diligence searches and other pro forma corporate work.
  • Undertake marketing initiatives and connect with potential new clients.
  • Creating and implementing client and referral partner appreciation programs, notes, birthday cards, etc, both digital and old school.
  • Supporting our (external) marketing team and helping provision scheduled content.

COMPENSATION

  • Full-time position: between 40-48 hours a week depending on tasks
  • Starting Salary: $800 -$1500 USD/mo + commissions + bonuses

REQUIRED EXPERIENCE

  • 1-year experience working in a digital marketing agency (ownership/leadership experience preferred)
  • Previous experience in managing a remote team preferred
  • Previous experience with remote working software preferred, including ClickUp, Slack, Zoom, etc.
